7-2 Visiting Student Interns

Policy

Students who are enrolled in a non-Columbia University degree program and would like to visit Columbia to conduct research training with a PI will now be treated as Visiting Student Interns. This position as visiting student intern can be either an undergraduate or graduate student in a U.S. or foreign educational institution. The period of the internship cannot exceed one year, and the student is expected to resume their academic degree program at their home institution at the conclusion of their research internship at Columbia. This group includes visiting students who perform research in the laboratories of Columbia faculty or officers of research.

Requirements

Departments prepare and submit the following:

Visiting student intern (VSI) intake form & documents below:
- Visitors CV
- Proof of funding
- Proof of enrollment
- Inventions Agreement for Visiting Personnel Using Columbia University Research Facilities
- Proof of Medical Insurance valid in the US (now required for all visitors)
Invitation letter from PI (see the draft template in resources)
PAF *

LAF *
Passport ID page **

Workflow

The department creates a ticket and submits the Visiting Student Intern intake form and required documents in JIRA
The department is required to select all special indicators that will be a part of the visitor’s training activities
OFA reviews documentation and submits the ticket to the OFA approver

If there are:

No special indicators and the VSI is unpaid by CU sources, OFA approves to complete the process.
No special indicators and the VSI is paid by CU sources, OFA approves the ticket to Payroll.
Special indicators and the VSI is unpaid by CU sources, CUMC HR approves the ticket to complete the process.
Special indicators and the VSI is paid by CU sources, CUMC HR clears the ticket to Payroll.
