Policy

Written notice to a full-time officer of instruction who holds a term appointment, informing him/her that his/her appointment is not to be renewed, will be given in advance of the expiration of his/her appointment based on the LON Guidelines.

Officers of research are not entitled to a minimum period of notice of non-renewal. However, principal investigators are responsible for informing them in advance of a decision not to renew their appointments. The Provost may require that an appointment be extended in the absence of a compelling reason for giving less than three months’ notice. Notice of nonrenewal must be given in writing. The Provost may require a department, school, institute, or center to extend a research appointment if this obligation is not met.

Requirements

Department submits the following:

  • End of Appointment: A PAF with the appointment end date indicated and reflecting action/reason code TER/AEN
  • Hire Cancel: A PAF with the appointment end date and the reason(s) for canceling the hire (e.g., lapse of funding), and reflecting action/reason code TER/CNL
  • Death: A PAF with the appointment end date and reflecting action/reason code TER/DEA and documentation such as death certificate or obituary
  • Other: A PAF reflecting action/reason code TER/ROP

If the officer is on non-immigrant visa (J-1, H-1B, O-1, E-3, TN) submit a Termination Form to ISSO-CUIMC.

Workflow

  • The OFA Representative reviews the request and obtains OFA approval.
  • OFA submits the PAF to CUIMC Payroll, if salaried, or directly to HRPC, if zero-salaried.
