2-3 Promotion of Tenured OOIs

Policy

Promotion to Professor with tenure should be reserved for those tenured Associate Professors whose contributions are recognized nationally and internationally. Research, scholarship, teaching, and service should be of the highest caliber. Nominations for promotions to the rank of Professor are reviewed by the COAP of their respective CUIMC school or department. If the promotion is approved by the candidate’s school and/or departmental COAP, the promotion dossier is submitted to OFA for CUIMC COAP approval and approval by the Trustees of Columbia University. Tenured promotions are effective January 1 or July 1.

Requirements – Part 1, CUIMC COAP review

Department submits the following (electronically):

  • A completed promotion dossier for CUIMC COAP review:
    • Letter from chair to Dean nominating the officer for promotion and including the title, candidate’s scholarly activity, research accomplishments, teaching record, and evidence of service
    • Signed Memorandum of Agreement (for joint or interdisciplinary appointments – see 1-6 Joint/Interdisciplinary Appointment
    • Officer’s CV in COAP format
    • Candidate’s statement of research, teaching, and service activities
    • List of referees (in alphabetical order)
    • Copy of letter to referees
    • Letters of Evaluation
    • One copy of five papers judged by the candidate and the department to be the most noteworthy contributions to the literature
  • School and/or departmental COAP approval letter and report

Workflow – Part 1, CUIMC COAP review and Trustees' approval

  • The OFA Representative reviews the submission for completeness and accuracy and schedules the school dean and/or department chair to present to the CUIMC COAP.
  • Once the CUIMC COAP presentation is scheduled, the OFA Representative forwards the agenda to the CUIMC COAP members and uploads the dossier 
  • The OFA Representative sends reminder notices to the school dean and/or chair or designee regarding the presentation(s).
  • The dean, chair, and/or designee presents the candidate to the CUIMC COAP, focusing on the candidate’s achievements since attaining tenure.
  • When the chair has completed the brief presentation and leaves, the committee votes.
  • Upon CUIMC COAP approval, the OFA Representative sends the chair’s letter and officer’s CV to the Office of the Provost for Trustees’ review and approval.
  • If the Trustees approve the promotion, the Office of the Provost forwards to OFA the monthly Trustees Report with the resolution approving the tenured promotion.
  • The OFA Representative notifies the department or school of Trustees’ approval.

Requirements – Part 2, PAF processing

Department submits the following documents:

  • PAF reflecting the Action/Reason codes DTA/TTL with an effective date of January 1 or July 1
  • Copy of Trustees Report approving the tenured promotion

Workflow – Part 2, PAF processing

  • The OFA Representative reviews the PAF and supporting documentation for completeness and accuracy.
  • OFA approves and submits the PAF and supporting documentation to CUIMC Payroll for further processing.
